GETTING STARTED

How easy is Eventrax to implement?

We take pride in our implementation team and are able to get clients up and running on their version of Eventrax within two weeks. If you are looking for a more bespoke build then please do enquire into our custom package as it may take a little longer. Our team will be happy to help you plan what package works best for you. 

How much inventory can be stored on Eventrax?

There is no limit to how much inventory can be stored on Eventrax. 

How do I add/remove users?

Upon becoming an Eventrax client, you will be assigned a dedicated Account Manager who will handle all of your Eventrax admin. Generally, our clients like to do a monthly 'user refresh' and will send their Account Manager old and new users to be updated with a same day turnaround. 

How do I upload inventory?

Your Account Manager will do all the heavy lifting when it comes to uploading event inventory. We still give Super Users access to edit key details though, because as event experts we know these can change at any moment!

What training do you provide?

Eventrax is simple and easy to use and we want to ensure you become Eventrax experts as quick as possible so we will provide you with the necessities; training video combined with a written guide. We also offer for a member of our team to come to you and do an onsite training session.

What support will I have once I am up and running?

Your dedicated Account Manager will take good care of you as well as our team of dedicated event technology experts who are available 08:30- 17:30 Monday to Friday (UK time). Telephone number is 0208 222 8420, just remember to quote ‘Eventrax’.

What are the payment terms?

Eventrax is priced per software license and requires our clients to pay per annum. If you want to enquire about a different payment plan then please do fill out the contact us form and get in touch with one of our representatives.

Is there a minimum license length?

Yes, minimum is one year but we do often have promotions on where there may be a free trial available to you. Make sure you fill out a contact us form to find out. 

Is there a cost per user?

We want you to be able to get up and running quickly and easily so have included specific amounts of users within each package. There is a charge per user for any users above this allocated amount. Please reach to a representative to find out what ‘+user’ cost bracket your business falls under. 

Is there a cost per inventory item?

We want to give you and your teams all the time back we can and will upload all of your inventory on to your unique Eventrax portal. No, we will not charge you per inventory items so might as well get your full events programme on there!

DATA

Where is my data held?

Eventrax data is stored in a UK based secure data centre. For details around security and monitoring please fill out the form on our Contact page and a representative will provide you with further information. 

What happens to my data if I no longer become an Eventrax client?

We are pretty sure that if you become and Eventrax client you won't want to return to your old way of managing your inventory! However, if no longer become an Eventrax client we will return all of your data to you. 

How does Eventrax ensure it is GDPR compliant?

Eventrax is fully GDPR compliant as is our parent company 'AOK Events Ltd'. We ensure that all data in connection with your Eventrax licence is kept within GDPR regulations.
